Through Coastrek we’ve inspired and empowered over 90,000 women (and men!) to push their limits, embrace nature and hike the stunning coastal trails and beaches of Sydney, the Mornington Peninsula, the Sunshine Coast, Fleurieu Peninsula and Margaret River, and our community has raised over $56 million dollars for charity. We are currently in partnership with Beyond Blue, creating hiking adventures for mental health on iconic coastal trails around Australia. We also prepare women for life changing adventures and partner with like-minded brands to reach out boldly and cultivate magic moments that inspire. And we’re now on the lookout for a wildly capable, energetic and driven Event Director who’s passionate about women’s health for a maternity leave cover contract to lead our Event Production team and take charge of creating the ultimate Coastrek experience.
About the Role
This is a key leadership role that is responsible for the overall strategic direction, implementation, and directing of Wild Women On Top’s Event production function, ensuring the ‘wild goals’ of the strategic plan drive decision making. This role will involve building, leading, and executing the Coastrek event calendar, requiring a high level of competency in stakeholder management, while developing systems and processes to mobilise and coordinate all staff, participants, partners, suppliers, contractors and volunteers. The Event Director and the Event Production team are responsible for creating the ultimate Event Experience for all Coastrek events.
Wild Women On Top is in a stage of growth. New and exciting events are in the pipeline, and the Event Director will play a key role in scoping and project planning these new events, including assessing feasibility and determining whether proposed events should proceed.
This position will involve out-of-hours events and activities to support event delivery including event day weekend. You will be part of the planning process and have notice of these times.
Key Responsibilities:
Strategic Planning and Implementation
- Collaborate with the leadership team to provide input and insights for Coastrek event strategies.
- Formulate and manage the Event Production budget.
- Stay up to date with innovation, competitor performance, and industry trends to enable responsive planning and execution of Coastrek.
- Develop and lead implementation of the annual Event Production critical path (project plan) to achieve agreed goals across planning, engagement, delivery, and reporting.
- Design Coastrek courses (in collaboration with stakeholders, logistics partner, and leadership team) and conduct reconnaissance missions as required, in line with marketing lead generation for each event.
- Build and maintain external partner relationships and expectations, e.g., collaborating with stakeholders (councils, National Parks, private landowners), logistics contractor, contractors (traffic, first aid), suppliers, charity partner, event partners, and sponsors
- Create and manage key event documents including risk, emergency, and crisis management plans, event plan, and run sheets, ensuring they are up to date, clearly communicated, and understood.
- Take ownership of emergencies that arise on Coastrek event days, communicate clearly and promptly with participants, staff, contractors, and volunteers, and direct actions in alignment with the crisis management plan.
- Manage inventory tracking, post-event stocktake, cleaning, and maintenance of event equipment, including suitability for transport between events and insurance coverage.
- Provide reporting, feedback, insights, recommendations, and board updates to keep the management team informed.
Team Leadership
- Lead with the values of Wild Women on Top QEASTO; Quality, Empowerment, Adventure Mindset, Sustainability, Teamwork and Optimism
- Lead the Event production team including one direct report to facilitate autonomy and ownership of all day-to-day BAU tasks. You will also oversee the deliverables of the Customer Service Manager & Corporate Partnerships Manager that relate to event production and event day.
- Plan half-yearly and annual reviews of Wild Goals with direct report.
About You:
- A minimum of 10+ years of experience in sporting/outdoor event leadership role. A relevant tertiary qualification.
- High energy, initiative and positive can-do attitude.
- Strong presentation, time management, and organisational abilities to manage multiple projects simultaneously, staying on time, and within budget.
- A highly collaborative and proven team leader.
- Ability to inspire others, maintain focus on deliverables and optimise strengths in the team
- Advanced computer software and content management system skills.
- Exceptional attention to detail.
- Be available to work some weekends and evenings aligning to our event calendar (this will involve interstate travel 4-6 times a year for approx. 4-5 days at a time + reconnaissance travel requirements).
- Valid Driver’s licence.
- Right to live and work in Australia.
