Thank you for your interest in becoming a Member of Wild Women on Top!
As a Member, we aim to provide you with a World Class Adventure Fitness Program and amazing adventures to keep you motivated. In the interests of providing exceptional service and maximum benefit to our Members, these Terms and Conditions of membership apply to your membership with WWoT:
1. Becoming a Member:
To apply to become a Member of Wild Women on Top, you need to complete a Membership Form, Risk Waiver and Medical Form and send the form to us for processing, together with the appropriate Membership Fee.
The Membership Form is on our website at www.wildwomenontop.com
Once we have accepted your application to become a Member, and completed the processing of your application, you will be a Member of Wild Women on Top!
On becoming a Member you also agree to abide by these Terms and Conditions and the Golden Rules. The Golden Rules can be found on our website at www.wildwomenontop.com or you can email admin@wildwomenontop.com to obtain a copy.
Unless you tell us otherwise on the Membership Form (or otherwise in writing before you apply to become a Member), WWoT will assume that you have general good health and an appropriate level of fitness and wellbeing for the activities that you elect to undertake with WWoT.
All medical conditions, medications, allergies, intolerances, food requirements or injuries that may affect your ability to undertake activities with WWoT (Material Information) must be noted on your Membership Form and any omission or failure to note that information will be considered by WWoT as a breach of your disclosure obligations to WWoT. As any omission or failure to disclose Material Information or the making of a false or misleading statement could jeopardise your or any other Member's safety, WWoT may (in its absolute discretion) as a result of any such non-disclosure exclude you from any WWoT activity where WWoT considers it reasonable and prudent to do so, either for your own safety or the safety of any other Member.
If WWoT excludes you from any WWoT activity due to your failure to disclose Material Information or due to you making a false or misleading statement, WWoT will not and will not be obliged to refund any money paid by you to WWoT.
WWoT reserves the right to change the Terms and Conditions and Golden Rules from time to time.
2. Membership Entitlement:
Subject to the type of Membership that you have, as a fully paid up Member, you will be entitled to receive the membership benefits outlined below.

WWoT reserves the right to change membership benefits or to increase membership and other fees from time to time.
Whilst every effort is made to minimise fee increases to our Members, WWoT reserves the right at any time to increase membership and other fees from time to time.
Reasonable endeavours will be made to notify Members of any changes, using the latest contact details provided by Members to WWoT or details of changes will be notified on www.wildwomenontop.com.

2B Wild Walks fees:
Fees for Wild Walks will be published at www.wildwomenontop.com from time to time. Fees for Wild Walks are payable at the time you book a Wild Walk with WWoT.
2C Local and Overseas Trips and Adventures costs:
Trip costs for Local and Overseas Trips and Adventures will be made available to those Members who express an interest in participating in these trips and adventures. At the time of your enquiry, trip costs may not be determined - WWoT will make the information available to you once the trip costs are determined.
Trip Costs for Local and Overseas Trips and Adventures are payable at the time you book a Local and Overseas Trip or Adventure with WWoT.
If a trip is over-subscribed, preference will be given to current Trek Training members, and existing WWOT members.
3. Payment of Fees:
3A Membership fees:
Membership fees are payable at the time you submit your Membership Form to us to become a Member. If for any reason we are not able to accept your application to become a Member, your membership fee will be refunded to you in full.
In order to maintain your membership status, your Membership fee must be paid in full as and when it is due.
WWoT encourage Members to attend at least one three hour Trek Training session per week during a Term to gain benefit from the Trek Training program.
As a fully paid Member, you are entitled to sign up for any of the Trek Training, Interval Training, Adventure Running or Newbies programs and local and overseas trips offered by WWoT (subject to availability of spaces within group and fitness assessments). However, depending on the nature of a particular activity certain minimum qualifying requirements may apply. For example:
a. our Adventure Running program requires Members to be able to run a minimum of 7kms in an hour;
b.our Trek Training programs require Members to be able to walk at a brisk pace for at least 2.5 hours on bush and coastal tracks; or
c. Hard Core programs and walks are only available to those Members who fulfil the Hard Core requirements - see www.wildwomenontop.com for details.
3B Term Training fees:
Fees for Term Training must be paid at the time you apply to participate in Term Training, and thereafter on receipt of an invoice prior to the start of each new Term.
Trek Training is 10 x three hour group sessions with a WWoT Coach. The three hour sessions are a mixture of interval and endurance training, and require you to carry a pack on your back and to participate in wild walks on bush or coastal tracks.
Trek + entitles the Member to one x three hour Trek Training and one x two hour Interval Training session per week for the duration of the Term.
Newbies Training is 10 x two hour group sessions with a WWoT Coach, involving interval and endurance training and information on relevant adventure fitness topics and training tips to get you started.
When you book Term Training with WWoT and we confirm that booking, WWoT will reserve you a place in the appropriate Term Training group, if a space is available in your preferred group. If a space is not available in your preferred group, we will liaise with you to accommodate your requirements as much as possible, subject always to availability of space in other groups.

3C Wild Walks fees:
As stated above, fees for Wild Walks are payable at the time you book a Wild Walk with WWoT.
3D Local and Overseas Trips and Adventures costs:
As stated above, trip costs for Local and Overseas Trips and Adventures are payable at the time you book a Local and Overseas Trip or Adventure arranged for WWoT.
As Local and Overseas Trips and Adventures are often co-ordinated by WWoT in conjunction with a third party operator (such as World Expeditions or other) it will be necessary for you to pay a deposit to the relevant third party operator for your Local or Overseas Trip and Adventure at the time of your booking.
On or prior to the time you make your booking, the third party operator will let you know whether or not any deposit is refundable and the terms and conditions applying to the trip and any payment that you make. Before you make any payment, WWoT recommends that you read the terms and conditions of your trip carefully.
Prior to you making final payment for any such adventure / trip, you will be required to pass a WWoT fitness assessment to ensure you are appropriately prepared for your adventure. If you fail this assessment, you may be refused a place on the adventure / trip. WWoT encourages each Member to attend Trek Training on a regular basis and to supplement this with Interval Training or their own fitness related activities, at least three times weekly, to ensure they maintain fitness in preparation for an adventure/trip.
4. Refund and transfer policy:
WWoT encourages you to attend any Term Training every week throughout a Term.
However, WWoT appreciate there may be times when you may miss a Term Training session due to other commitments and need to or want to do a make up session.
If as a result of varying circumstances, you miss more than one session due to circumstances outside of our control, please note that regrettably we are not able to refund your Term Training fees. This is because when you book in with us for your Term Training, we reserve a place for you in an appropriate Term Training group. Even if you do not attend a Term Training session we will still be obliged to pay certain overheads such as: our coaches fees, staff, insurance, licences, administration expenses and all other overheads in connection with the Term Training and operating WWoT.
We therefore strongly encourage you to commit to your Term Training and attend your Term Training session each week during the relevant Term, and make use of our make up sessions, where possible (subject to availability).
Please note:
a. Term Training fees are not refundable (WWoT really want to encourage you to attend your Term Training) but make-up sessions with other groups are highly recommended and can be accommodated, subject to availability. Unused Term Training sessions cannot be transferred to a new Term except in exceptional circumstances. WWoT reserves the right to determine whether or not exceptional circumstances apply.
b. In the event of exceptional circumstances, such as injury or illness being applicable to your cancellation, the following refund policy applies: cancellation within weeks 1-5 of term will incur a $100 admin fee plus the cost of any sessions that have passed up until the date you inform us, whether you attended those sessions or not. You will be refunded the remainder of your fees less these two amounts, on presentation of a doctor's certificate confirming the injury/illness.
c. Refunds cannot be made after 5 weeks of term.
Places in fully subscribed Term Training groups cannot be held without payment to WWoT in accordance with these Terms and Conditions.
d. Make up sessions must be utilised within the same Term as your Term Training and cannot be carried over to another Term.
5. Consequences of certain conduct:
WWoT put safety first and reserve the right to suspend or terminate the membership of any Member whose conduct has the potential to cause injury or harm to coaches, other staff of WWoT or other Members. Safety and respect for the environment in which we train is of paramount importance to WWoT. WWoT also encourages and promotes TEAM work and for Members to care for each other.
If you elect for any reason to leave the supervision of your guide/coach during ay activity with WWoT, or if you decide not to participate in a supervised activity with WWoT, then you accept that you do so at your own risk and you are fully responsible and are otherwise liable for any illness, injury or death to you or those accompanying you once you leave the supervision of your guide/coach.
Without limiting the above, an example of when this may occur is where you may elect for any reason to leave an activity early to go home or to attend to another commitment. WWoT recommends that you remain with the guide/coach and other Members for the full duration of the activity. However, if you leave the activity before it is finished then you do so at your own risk and you are fully responsible and are otherwise liable for any illness, injury or death to you or those accompanying you once you leave the supervision of your guide/coach.
6. Trips and Tours:
Note: This section 6 applies to trips and tours organised by WWoT and to those arranged by a third party operator (such as World Expeditions or other).
WWoT reserves the right to vary or cancel any Local and Overseas Trips and Adventures or any part of them due to extremes of weather or changes to operational conditions such as road closures, flood danger, fire bans or other conditions beyond the control of WWoT or the third party operator engaged to conduct the trip or tour.
Every effort will be made to keep to published departure times and connections, but no guarantee can be made and no compensation shall be payable by WWoT or the operator for failure to meet those times. WWoT reserves the right to cancel or amend any trip or tour if there is an insufficient number of participants.
WWoT does not accept liability for the acts, omissions, default or negligence of any wildlife park, scenic rides or any other service used in connection with any activity with WWoT, including any trips or tours organised by or otherwise involving a third party operator.
WWoT is not responsible or liable for any death, illness or injury to any person, or loss of or damage to any property or otherwise due to any third party operator's negligence nor any inconvenience, delay, injury, accident, theft or negligence caused to, or expenses incurred by, any Member however caused by or arising out of any activity of WWoT or failure of WWoT to provide any trip or tour.
WWoT reserves the right to cancel any trip or tour prior to departure due to insufficient numbers. In such an event, you will be given a full refund or opportunity to transfer to another trip, at your election.
Personal travel insurance is not included in the price of any trip or tour. It is your responsibility to ensure that you are adequately insured for the full duration of the trip or tour in respect of illness, injury, death, loss of baggage and personal items, cancellation, curtailment and any other factor that may otherwise affect you on any trip or tour. In this regard, you are strongly encouraged to liaise with your travel insurer and take out and maintain appropriate insurance. WWoT are not travel insurers or experts in insurance and therefore cannot advise you in this regard.
Final payment for all trips and tours is to be made not less than one month prior to departure of the relevant trip or tour (unless WWoT advise otherwise in writing). In some cases, a third party operator may require payment at some earlier time. In such case, the terms and conditions of the third party operator will prevail.
Any medical questionnaire provided to you by WWoT or a third party operator needs to be completed and returned to WWoT or the third party operator not less than 14 days prior to departure of the trip or tour. You must be a current and fully paid Member of WWoT to participate in any trip or tour.
In the event that a Trip/tour falls within the Trek Training Term, additional complimentary training will be offered to compensate for Trek Training sessions missed. No refunds will be provided.
7. Cancellation fees for trips and tours:
Cancellation fees for trips and tours booked through a third party operator will be as determined by the third party operator. Cancellation fees for trips and tours booked through WWoT will be as set out below:

8. Feedback - positive or constructive:
WWoT encourage feedback on all aspects of our business. You can send us your feedback via email to admin@wildwomenontop.com or contact our office on Tel. (02) 9907 9843 and ask to speak to either Roz, Di or Lisa WWoT will use best endeavours to respond to your feedback promptly or, in any event, within 3 days of receiving your feedback or complaint.
9. Change of Details:
Members must keep WWoT informed of a Member's address, phone number, emergency contact, email address and any other details relevant to your being a Member of WWoT.
10. Acceptance of Risk:
Part of the appeal of adventure & trekking holidays is that they operate in remote, harsh & unpredictable environments. They are by their nature challenging and demanding. As a Member of WWoT, you agree to accept the inherent risks and dangers associated with any activity in which you participate with WWoT and the accompanying risk of injury, death or property loss or damage. WWoT strongly advise all Members to ensure that they have appropriate insurance and ambulance cover for any loss, damage or injury that may arise out of or in connection with participating in an activity with WWoT and, in particular, for emergencies.
11. Our commitment to You:
WWoT strive to provide you with a World Class Adventure Fitness Program. We will make recommendations to you on an appropriate type of membership and training program for you to join. However, WWoT cannot guarantee that places will always be available in your first choice of Term Training group or in your desired location.
WWoT's coaches are qualified in first aid, are insured for public liability and undergo an appropriate Traineeship program with WWoT to ensure that they are appropriately skilled for the activities of WWoT, and represent the values of WWoT and the Golden Rules.
12. Inclement weather or other conditions:
Term Training will operate regardless of weather conditions, except in the case of lightning or electrical storms, or where deemed unsafe by the coach/guide or if for any reason conditions are such that WWoT's insurance would be void or voided for the activity. The coach/guide may choose a suitable alternate venue or route. The route or venue may not be the same as proposed if it is deemed unsafe, but WWoT and its coaches/guides will use their reasonable endeavours to find a suitable substitute.
13. Right to use photographic or film material
When you are participating in a Wild Walk, Wild Weekender or Term Training session, trip or tour, we or others may take photographs or film material of you. By becoming a Member, you are giving us permission to use this material, including use for promotional materials without any compensation to you or express written permission from you. In addition, if you give us any photographs or photographic material, you agree to allow us free and unlimited licence to use of any images or material, including for promotional materials however, WWoT acknowledge that any other proprietary rights that you may have will otherwise remain with you.
14. Privacy:
WWoT will use your personal details for our own purposes and will not knowingly disclose your personal details . On becoming a Member you agree that in certain circumstances where any activity is being organised and you are signed up to an activity, your email address may be provided to other Members participating or likely to be participating in that activity.
